Check invoice delivery

Checking the delivery status of an invoice

Overview

After sending an invoice, you can check the delivery status to make sure that the invoice has reached the recipient. faktoora tracks delivery attempts for email, Peppol and manual deliveries.

Checking the delivery status in the web interface

  1. Open the invoice details in your faktoora instance
  2. Scroll to the "Deliveries" section
  3. You see a list of all delivery attempts with the following information:
    • Type: type of delivery (email, Peppol, manual)
    • Recipient: email address or Peppol identifier
    • Status: current delivery status
    • Updated on: timestamp of the last status change

Retrieving the delivery status via the API

Use the API endpoint GET /invoices/{faktooraId}/status to retrieve the delivery status:

GET https://api.faktoora.com/api/v1/invoices/{faktooraId}/status

The response contains the delivery field, an array with all delivery attempts:

{
  "delivery": [
    {
      "type": "email",
      "recipient": "rechnung@beispielkunde.de",
      "carbonCopy": "cc1@example.com",
      "blindCarbonCopy": "bcc@example.com"
    }
  ]
}

Delivery status values

Email delivery

Email deliveries store the recipient addresses without tracking an ongoing delivery status. You can judge the delivery by the absence of error reports or bounce notifications.

Peppol delivery

Peppol deliveries have an ongoing delivery status:

  • PENDING_GENERATION: the invoice XML is still being generated; Peppol delivery has not been requested yet.
  • ACTIVE: transmission is in progress.
  • READY: waiting for the next retry (occurs after an error during a retry).
  • DELIVERED: delivery confirmed by the receiving access point.
  • REJECTED: rejected by the receiving access point.
  • FAILED: permanently failed (e.g. due to a validation error).
  • SUSPENDED: given up after all retries were exhausted, or paused; can be restarted via POST /invoices/{faktooraId}/dispatch/peppol/resend.

Error reports

For failed Peppol deliveries (status FAILED, REJECTED, SUSPENDED), the response may contain a messages field with error or warning messages:

{
  "type": "peppol",
  "recipient": "9930:DE123456789",
  "state": "REJECTED",
  "attempts": 3,
  "messages": [
    {
      "level": "ERROR",
      "code": "BR-S-02",
      "text": "A business rule validation error"
    }
  ]
}

Common problems

No delivery confirmation

By default, email deliveries do not store delivery confirmations from mail servers. If you want to check whether an email delivery was successful:

  1. Check the delivery history in the web interface
  2. Check your mail server logs (if you use your own SMTP server)
  3. Ask the recipient to confirm that the invoice has arrived
  4. Check for bounce notifications from your mail service

Peppol delivery failed

If a Peppol delivery fails:

  1. Check the error messages in the messages field
  2. Fix the problem (e.g. invalid data, missing information)
  3. Use POST /invoices/{faktooraId}/dispatch/peppol/resend to retry sending
  4. Contact faktoora support if the problem persists

No delivery attempts visible

If the delivery array is empty:

  1. The invoice may not have been sent yet
  2. Check whether the invoice is still in draft status (draftOnly: true)
  3. Make sure you requested the sending correctly

Monitoring the delivery history

For automated monitoring or integration with your system, you can query the delivery status regularly:

  1. Store the faktooraId after creating the invoice
  2. Query GET /invoices/{faktooraId}/status
  3. Check for status changes in the delivery array
  4. Implement error handling for the REJECTED, FAILED or SUSPENDED statuses
